Ohio Employers: Prepare for Mandatory Detailed Pay Statements Starting April 9, 2025
Beginning April 9, 2025, all Ohio employers will be required to provide detailed pay statements to their employees, marking a significant shift in the state's payroll reporting practices. Previously, Ohio was among the few states that did not mandate employers to furnish pay stubs.
Key Requirements of the New Law:
On each regular payday, employers must supply a pay statement—either in written or electronic form—that includes the following details for the pay period:
- Employee’s Name and Address
- Employer’s Name
- Total Gross Wages Paid
- Total Net Wages Paid
- Amount and Purpose of Each Addition or Deduction from Wages
- Date Paid and Pay Period
- For Hourly Employees:
- Total Hours Worked
- Number of Overtime Hours
- Hourly Wage Paid
Employers have the flexibility to deliver these pay statements in written form, electronically, or by granting employees access to this information via an online portal. Transitioning to paperless payroll can streamline this process and enhance security. Learn more about
Action Steps for Employers:
To ensure compliance with the upcoming mandate, employers should:
- Review Payroll Systems: Assess current payroll processes to ensure they can capture, and report all required information.
- Implement Necessary Changes: Update payroll software or collaborate with payroll service providers to accommodate the new reporting requirements.
- Educate Employees: Inform employees about the upcoming changes and how they can access their pay statements.
By proactively addressing these changes, Ohio employers can ensure a smooth transition to the new pay statement requirements and maintain compliance with state labor laws.
